Managing Contacts

The Contacts tab is your unified address book. It merges RingCentral directory entries with NetSuite CRM contacts into one searchable list and lets you call or text anyone with one click.

Contact sources

Every contact carries a source badge showing where the record came from:

Hover a badge to see the full source list (for example, RingCentral personal contact or NetSuite CRM).

You can call or SMS any contact regardless of source.

Without search: When your company has NetSuite M2M configured, RingCentral for NetSuite Pro loads NetSuite contacts in pages. Scroll to the bottom to load more. A banner may appear while the directory is syncing.

With search: Type in the search bar to find contacts across all sources. Search matches:

  • Name — first, last, or full
  • Phone number — any format; numbers are normalized to E.164 before matching, so (555) 123-4567 and +15551234567 find the same contact

Results blend RingCentral and NetSuite records, with exact matches surfaced first.

NetSuite directory

Full NetSuite browse and search requires NetSuite (Company) M2M credentials. See Integrations.

Create a NetSuite contact

  1. Open Contacts and click the + icon in the header.
  2. Enter first name and last name (required).
  3. Enter a phone number and optionally email and title.
  4. Optionally search for and select a company from your NetSuite account.
  5. Click Save. The contact is created in NetSuite and appears in the list with an NS badge after sync.

You need a connected NetSuite (You) OAuth account to create contacts. The same modal is available during a call when no contact is linked — see Using the Call Info Pane.

Viewing contact details

Click any contact row to open the contact card. From here you can:

Action What it does
Call Dials the contact's primary number
SMS Opens (or starts) an SMS thread with the contact
View history Recent calls and SMS threads with that contact

The card shows linked NetSuite data (company, title, email) when available. Contacts from NetSuite and RingCentral are read-only in RingCentral for NetSuite Pro — edit them in NetSuite or RingCentral and they sync back on the next refresh.

Avatar initials

Contacts without a profile photo show initials derived from their first and last name on a tinted background. This is automatic — you don't configure it.

Number normalization

Behind the scenes, RingCentral for NetSuite Pro converts every phone number to E.164 format (+15551234567) so:

  • The same contact is found whether you type 555-123-4567, (555) 123-4567, or +1 555 123 4567.
  • Inbound calls are matched to contacts even if the number arrives in a different format than you saved it.
